Area: We are looking for an Administrative Specialist supporting the Plastics R&D Pilot Plant group in Freeport, Texas. About you: You provide general administrative support to a leader or department. You exercise discretion and independent judgment in managing flow of work. This requires full proficiency gained through job-related training and considerable on-the-job experience to perform a range of tasks under limited supervision. You are a team player, have good prioritization and organizational skills, and demonstrate competencies in the areas of: leadership, initiative, teamwork, and interpersonal effectiveness. Key Responsibilities: + Provides a wide variety of secretarial/administrative support to leaders, employees, or groups in the organization, including receiving, screening and directing incoming calls, visitors, mail, email, maintaining files, records, calendars and diaries. + Document manager control-Filing of paper and electronic documents as needed, within records management guidelines electronically + Acts as Safety Action Committee (SAC) Office Professional: + Responsible to tracking meeting attendance + Developing and implementing a schedule for monthly department/group safety inspections/walk-throughs to be conducted by SAC team members/leaders. + Ensuring that the SAC has items for recognizing and rewarding teams and individuals for positive safety behavior and performance with the unit. + Uses business software applications (e.g., word processing, presentation and spreadsheet) to prepare correspondence, reports, presentations, agendas, minutes, etc + Arranges business travel, coordinates internal meetings and event arrangements, and/or tracks expenses + Monitors and tracks expenses against budgets and provides reports to cost center owner or budget manager + Maintains internal file shares and team communication mechanisms + Acts as the department focal point for interactions with certain external vendors, contractors, or service providers Required qualifications: + A minimum of a High School Diploma or GED/equivalent + 4+ years of administrative or similar experience + Proficiency in Microsoft Office: Excel, Word and PowerPoint, MS Teams + Must be 18 or older + A minimum requirement for this U.S. based position is the ability to work legally in the United States. No visa sponsorship/support is available for this position, including for any type of U.S. permanent residency (green card) process Preferred Qualifications: + Associate’s degree or higher or military experience + Knowledge/experience working with the following systems and tools Dow uses would be highly advantaged: Concur, Diamond Systems, SAP, Ariba, File Share Manager, My Learning, Workday, Teams, WebEx, etc Willing and able to meet physical demands of the job, with or without reasonable accommodations: + Wear safety equipment, such as earplugs, safety glasses, and steel-toed shoes + Wear and use escape respirator if needed ​Your Skills: + Microsoft Office:Proficiency in Microsoft Office, including Excel, Word, PowerPoint, and MS Teams, is explicitly required for this role. This skill is essential for preparing correspondence, reports, presentations, and other documents. + Communication:Effective communication is crucial as the role involves receiving, screening, and directing incoming calls, visitors, mail, and email. Additionally, maintaining internal file shares and team communication mechanisms requires strong communication skills. + Administrative Support Work:The job involves providing a wide variety of secretarial/administrative support, including maintaining files, records, calendars, and diaries, as well as arranging business travel and coordinating internal meetings and events. + Coordinating Tasks:The role requires coordinating internal meetings, event arrangements, and tracking expenses against budgets.
