As an Administrative Secretary III supporting Endoscopy, you will gather and organize surgical patient data, prepare charts, collect statistical data, assist with projects and complete general clerical duties. This role involves collaborating with many people, including doctors, fellows, residents and other Cleveland Clinic staff members.

A caregiver in this role works days from 7:30 a.m. – 4:00 p.m.

A caregiver who excels in this role will:  

Perform general clerical duties on a daily basis such as filing, and other specific duties. 

Maintain a file for charts received for patients scheduled for surgery according to date to prevent loss in the event of a change or rescheduling. 

Prepare charts by placing required lab work, EKG, Chest X-ray, and history and physical on correct patient charts, assuring that all copies are legible and within the required time frame. 

Notify the charge nurse immediately if unable to complete. 

Prepare charts according to procedure, ensuring appropriate paperwork is available for admitting nurse (Radiology, OR). 

Deliver completed, stamped charts, along with patient's old records to ACU (ambulatory care unit). 

Serve as liaison between physician's offices, inpatient units, ancillary departments, and other services to ensure coordination in the delivery of patient care. 

Distribute pre-admission sheets to pre-admission clerk in agreed upon time frame. 

Assess and organizes workload to determine the order of priority, to expedite the processing of the preop data. 

Coordinate and schedules outpatient transfusions and infusions. 

Participate in quality improvement activities to improve the flow of patients and required documents. 

Maintain an orderly, clean, well-stocked office area, reordering supplies on appropriate order days. 

Prepare and arrange charts with proper forms for each patient type. 

Makes necessary phone calls to ensure the availability of chart requirements for the surgical procedure. 

Gather data to complete monthly statistical report for Pain Management Department. 

Notify the admitting department of changes in patient admission status, cancellations, and invasive procedures. 

Minimum qualifications for the ideal future caregiver include:  

High School diploma or equivalent

One year of experience in hospital setting or equivalent

Typing and basic computer skills

Preferred qualifications for the ideal future caregiver include:

Proficient in Excel and Word

Knowledge of MS Office and office navigation systems

Fluent in Spanish

Physical Requirements:

Ability to perform work in a stationary position for extended periods

Ability to operate a computer and other office equipment

Ability to travel throughout the hospital system

Ability to communicate and exchange accurate information

In some locations, ability to move up to 20 pounds

Personal Protective Equipment:
