GENERAL SUMMARY:
We are seeking a highly organized and detail-oriented Administrative Secretary to join our Ambulatory Operations team. This position operates under the direct supervision of a leader on the Leadership Salary Plan (up to and including M07). In this role, you will perform a variety of secretarial and administrative duties including typing routine correspondence, maintaining organized filing systems, distributing internal and external mail, and supporting daily departmental needs.
This position requires the ability to use discretion and judgment when screening visitors and phone calls, correcting grammatical and spelling errors in documents, and managing your workload effectively to meet established priorities.
KEY RESPONSIBILITIES:
Compose, type, and edit correspondence, reports, and meeting materials
Maintain physical and electronic filing systems
Distribute internal communications and mail accurately and efficiently
Manage calendars, schedule meetings, and coordinate logistics
Serve as the first point of contact for visitors and callers; triage inquiries appropriately
Maintain confidentiality and handle sensitive information with discretion
Perform other administrative duties as assigned to support the leadership and team
QUALIFICATIONS & SKILLS REQUIRED:
Computer Proficiency:
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Communication Skills:
Clear verbal and written communication skills
Ability to interact professionally with all levels of staff, visitors, and external partners
Organizational Skills:
Skilled in multitasking and prioritizing workload in a fast-paced environment
Strong documentation and record-keeping skills
Attention to Detail:
Accuracy in proofreading, formatting, and data entry
Strong ability to spot and correct errors

Demonstrated ability to meet deadlines and handle multiple tasks with minimal supervision

EDUCATION/EXPERIENCE REQUIRED:
Requires a high school diploma or G.E.D. equivalent. One (1) year of experience within an office setting preferred. Literacy and experience working with Microsoft Software Programs required. Previous experience scheduling appointments/maintaining calendars preferred. Interpersonal skills necessary in order to communicate effectively with callers and visitors, and provide information requiring ordinary courtesy and tact.
