This position will be responsible for providing administrative and specialized programmatic support for the Division. Additionally, the Administrative Program Specialist B will serve as a supervisor to the other Administrative Program Specialist A/B within the FSGR Division. The successful candidate will be a leader that has the ability to be flexible, multitask, work with many personalities, and support a team culture. Preferred Qualifications Experience with time and attendance and experience utilizing multiple state procurement platforms (i.e. metastorm, lagov and leo). Minimum Qualifications Four years of experience in administrative services; OR Six years of full-time work experience in any field plus one year of experience in administrative services; OR A bachelor's degree plus one year of experience in administrative services; OR An advanced degree. EXPERIENCE SUBSTITUTION: Every 30 semester hours earned from an accredited college or university will be credited as one year of experience towards the six years of full-time work experience in any field. The maximum substitution allowed is 120 semester hours which substitutes for a maximum of four years of experience in any field. Job Duties and Other Information Job Duties: A typical day for the Administrative Program Specialist B will include the following: + Provide support to the Executive Director of FSGR daily; + Monitor and/or input time and attendance records for FSGR (Federal Support and Grants Management); + Serves as backup/support time and attendance for other Divisions within the agency; + Oversees and manages the division wide implementation of contracts from development, negotiation, internal contract procedures and implementation for ESSA and IDEA programs (Federal Support, Statewide Monitoring and Grants Management); + Attend all internal and external meetings that pertain to work in the Division; + Manages, coordinates and inputs all contracts, purchase orders, schedule of events, etc., into Metastorm, LAGov and LESA and tracks through completion for the entire division (Federal Support, Statewide Monitoring and Grants Management); + Reconciles invoices and ensures vendors submit timely professional billing forms; + Manages and coordinates all property purchases, dissemination to staff and track for audit purposes, inclusive of serving as property liaison for (Federal Support and Grants Management); + Oversees and maintains strict confidentiality of documents and records and verbal and written communication; + Coordinates and organizes projects, most without direction, schedules complex meetings and prepares materials such as agendas, timelines, reports and presentations; + Develops timelines, prepares work plans and sets agendas sometimes without review; + Works independently on special projects and other duties as assigned by the Director of FSGR; and + Completes all other duties or special projects requested by Division leadership.
