The Administrative Program Coordinator provides high-level administrative, technical, and operational support for the Cardiovascular Genetics Program within the Heart, Vascular & Thoracic Institute. Serving as a central liaison, this role assists program leadership with daily tasks and special projects, coordinates policy evaluation and implementation, and helps drive operational efficiency. Responsibilities include managing communications, developing and maintaining databases, and identifying opportunities to improve workflows and program effectiveness. This position plays a key role in ensuring smooth program operations and supporting strategic initiatives.
A caregiver in this position works 8:00am—4:30pm
A caregiver who excels in this role will:
Update, monitor and manage databases.
Develop scorecard and milestone to track progress. Analyzes project improvement and progress.
Report discrepancies and variances.
Coordinate project prioritization and assists with policy and initiative implementation.
Assist with scheduling, coordination, preparation and communication of meetings.
Attend meetings and records key outcomes.
Support all office administrative functions.
Develop and maintain updates.
Other duties as assigned.
Minimum qualifications for the ideal future caregiver include:
Associate’s Degree and two years of administrative experience
OR High School Diploma/GED and four years of experience
OR Bachelor’s Degree
May require a license based on department/institute needs
Strong computer skills and experience with software applications
Skills/qualities: multitasking, critical thinking, decisive judgment, independent, interactive, communication and customer service
Preferred qualifications for the ideal future caregiver include:
Bachelor’s Degree in Business Administration, Healthcare Administration or related field
Healthcare or related organization experience
Knowledge of project management and communication practices
Physical Requirements:
Ability to perform work in a stationary position for extended periods
Ability to operate a computer and other office equipment
Ability to travel throughout the hospital system
Ability to communicate and exchange accurate information
In some locations, ability to lift up to 25 pounds
