**POSITION DETAILS**
The CUNY School of Medicine (CUNY SoM) located in the heart of Harlem, New York, is the only medical school in the City University of New York system and the only public medical school in Manhattan. Building upon 50 years of success as the Sophie Davis School of Biomedical Education, the institution transitioned to the CUNY School of Medicine (SoM) in 2016. The CUNY SoM offers an accelerated BS/MD degree (7-year program) and a Physician Assistant Master’s Degree (27 months program). CUNY SoM is seeking a dynamic administrative and executive assistant, dedicated to delivering exceptional customer service and fostering positive work experiences for our employees. The Administrative Executive Associate will provide confidential support to the Senior Associate Dean of Academic Affairs (AA). Under direction, with latitude for the exercise of independent initiative and judgment, duties will include but are not limited to:
+ Provide high-level administrative support to the Senior Associate Dean to ensure that the services and functions of the office are carried out in an efficient and professional manner; Interact daily with faculty, administration, staff, and external organizations to facilitate operations of the Senior Associate Dean’s Office.
+ Support the Academic Affairs Administration in processing requests for academic information and student correspondence; Prepare and disseminate correspondence on behalf of the Senior Associate Dean; Handle inquiries and provide communication related to the AA Division.
+ Maintain the calendar for time-off requests and Senior Associate Dean’s schedule; Coordinate meetings; prepare minutes and agenda; draft reports as needed; convene Ad Hoc and sub-committee meetings and serve as secretary on assigned committees.
+ Oversee processing of purchase requisitions, invoices, and expense reports under AA administrative direction; Compile and validate data-driven reports to support strategic decision-making, accreditation reviews, and performance metrics aligned with institutional priorities.
+ Support administrative functions that advance the school’s commitment to educating a community-responsive health workforce, with emphasis on lawful, equitable practices that enhance access and excellence in medical education.
+ Monitor changes in federal, state, and accreditation policy related to academic affairs; assess institutional risks and collaborate with compliance officers to ensure alignment with evolving mandates.
+ Contribute to contingency planning and risk-mitigation strategies for the Academic Affairs office, including operational continuity, emergency accreditation response, and budget monitoring.
+ Collect and analyze research data using Matlab, MS Excel, GraphPad Prism, and/or Python; Assist in grant applications; Document and train others in research methods, protocols and assist with research projects as necessary.
+ Provide administrative support for events sponsored by the AA Division, including orientations and awards; Assist with updates on the division’s website and support for college scheduling.
+ Serve as the liaison to students, faculty and administrative staff in various departments and administrative offices within the School and College, Support AA Administration at Open House and Orientation Week events.
+ Organize and update shared drives and reconcile documentation for credit card usage; Assist with budgetary needs for AA.
+ Perform other duties as assigned by the Senior Associate Dean or Academic Affairs or designee.
**QUALIFICATIONS**
Bachelor's Degree and six years' relevant experience required.
**PREFERRED:**
+ Master’s degree in business administration, public health or related field.
+ Eight to ten years of experience supporting an executive within higher education or medical facility.
+ Excellent organizational, interpersonal, oral and written communication skills, including a high level of attention to detail.
+ Demonstrated ability to problem-solve and troubleshoot effectively.
+ Demonstrated ability to work independently, prioritize workloads and efficiently complete tasks in a high transaction environment with multiple simultaneous projects.
+ Ability to manage multiple projects effectively with minimal supervision.
+ Sound judgment and discretion; ability to exercise tact and diplomacy and maintain confidentiality.
+ Ability to analyze and synthesize information effectively.
+ Advance proficiency of the Microsoft Office suite (Word, Excel, PowerPoint).
+ Strong work ethic and ability to maintain confidentiality and safeguard employee information and handle all documents with sensitivity.
+ Bilingual skills are a plus.
**CUNY TITLE OVERVIEW**
Supports a Campus or University Executive in a variety of activities and initiatives as a key team member.
- Organizes and manages projects involving different areas of the Campus or University community, with responsibility for project outcomes.
- Represents the Executive's unit in Campus or University-wide activities, including committees, special initiatives, and implementation of new processes or technology.
- Independently carries out a portfolio of responsibilities under the Executive's purview, such as approvals, student interactions, and monitoring of key activities. Manages communications within and outside the unit related to areas of responsibility.
- May serve as Manager of a large Executive Office.
- Performs related duties as assigned.

Salary Range: $94,909 - $105,816
