The Administrative Coordinator provides comprehensive administrative and project support to the Director of Continuing Professional Development and the Continuing Education (CE) team. This role is vital to enhancing the productivity, organization, and overall efficiency of the Director while also playing a key support role for CE Program Managers during critical stages of planning and delivering healthcare continuing education programs. These programs include live in-person, remote, and online courses.
The coordinator assists in a wide range of responsibilities across the course lifecycle, including content and faculty management, on-site support, committee coordination, facilities, marketing, catering, registration, evaluation, data and timeline management, budgeting and finance, and record-keeping.
Job Responsibilities:
Provide executive support to the Director, including special projects, schedule management, communications, organization, and follow-up tasks to improve workflow and efficiency.Support the CE Team during key planning phases by coordinating logistics, assisting with course materials, and ensuring readiness for live, remote, and hybrid CE activities.Proofread and edit course and department materials for accuracy, completeness, compliance, and adherence to UVA Health CE brand standards.Policy and procedure development assistance, including drafting, editing, and organizing documentation to support departmental operations and compliance.Review accreditation documentation for completeness, accuracy, and compliance, using checklists provided.Manage and Support CloudCME, our accreditation management system, facilitating course setup, faculty and learner data, evaluations, certificates, reporting, and troubleshooting.Other duties as assigned.MINIMUM REQUIREMENTS
Intermediate Administrative Coordinator
Education: High School Diploma
Experience: At least four years experience
Senior Administrative Coordinator
Education: High School Diploma
Experience: Six years of experience. Bachelor's degree may substitute for experience.
PHYSICAL DEMANDS
This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
