The Administrative Coordinator - School of STEM provides high-level administrative and operational support within the division. This position plays a key role in coordinating day-to-day activities, managing office operations, and assisting with grant development and budget oversight. The Administrative Coordinator serves as a central resource for communication, scheduling, and project tracking and helps ensure that efficient administrative processes support strategic and academic initiatives. Minimum Qualifications: Bachelor’s degree from an accredited institution and five (5) years of administrative experience in an academic or professional office setting, including budget or grant support responsibilities. Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), and web-based systems for procurement or project tracking. Strong written and verbal communication skills, with attention to detail and professionalism. Demonstrated ability to manage multiple priorities, meet deadlines, and maintain confidentiality. Nature and Scope of Duties: The Administrative Coordinator reports to the Dean, Executive Dean and/or their designee and performs the following duties: 1. Serve as the primary administrative support and contact for the School of STEM. 2. Coordinate internal/external communications for the School of STEM. 3. Provide administrative support to grant proposals, compiling background information, formatting documents, and managing submission timelines. 4. Monitor and reconcile the school’s operating and grant budgets, including department and program-specific accounts. 5. Initiate and process purchase requisitions, invoices, travel authorizations, and reimbursements; maintain supply inventories. 6. Maintain records and generate reports for assessment tracking and monitoring, managing deliverables, and preparing reports as needed. 7. Coordinate logistics for School of STEM events and outreach events. 8. Assist with the implementation of special initiatives and industry partnerships. 9. Participate in college-wide administrative training and professional development. 10. Performs other duties as assigned. This is a 12-month, Full-Time position with a salary of $50,000.
