DUTIES AND RESPONSIBILITIES

Administrative Coordinator

Customer Service & Front-End Support Maintain an atmosphere of enthusiastic customer awareness with an emphasis on fast, friendly service. Answer and respond to incoming calls professionally and efficiently. Support the Customer Service Center by covering breaks and lunches as needed. Cash Handling, Reconciliation & Financial Controls Complete all phases of the reconciliation process, including preparing and proofing daily deposit slips and balancing accounts receivable. Monitor cashier accountability; research discrepancies and report issues to the Service Operations Manager and Store Director. Partner with Division Loss Prevention and front‑end leadership to resolve cash‑handling concerns and shrink issues. Maintain the sales book and report daily and/or weekly sales information to the Store Support Center. Scheduling, Compliance & HR Coordination Report schedule violations promptly to the Store Director and appropriate department manager. Ensure minor employees are scheduled in compliance with state labor laws. Ensure compliance with HIPAA and confidentiality laws at the federal and state levels. Manage and retain employee HR records securely; maintain separate medical files in accordance with legal requirements. Ensure compliance with company records‑retention policies. Recruiting, Hiring & Onboarding Review internal and external applications; conduct screening interviews and coordinate manager interviews. Administer the Job Posting Program, pre‑employment drug testing, and tax credit processes. Complete the new hire process, coordinate training, and conduct orientation sessions and other training programs. Coordinate and maintain all recruiting activities including: Computer‑assisted application and hiring processes In‑store and external recruiting efforts Maintaining recruiting materials, applications, and policy sign‑off forms Retaining all interview and hiring documentation Payroll, Benefits & Personnel Administration Serve as liaison between HR, Payroll, and Benefits departments. Assist employees and store management with payroll and benefits concerns. Submit and process payroll on a timely basis; maintain Time and Attendance reports, correction forms, schedules, and personnel records. Process reinstatements, terminations, personnel status changes, and leave/return‑from‑leave documentation. General Office Administration Order and assign uniforms, name badges, and office supplies. Handle incoming/outgoing mail and manage the Administrative Coordinator email account. Maintain organized office files and ensure a clean, orderly office environment. Update breakroom HR communication boards and maintain all required legal compliance postings. Recognition, Culture & Engagement Coordinate store‑level recognition programs to support employee morale and engagement. Support store leadership in promoting a positive, respectful work environment. Additional Responsibilities Perform other necessary and required duties as assigned to support store operations and administrative functions.
