Position Summary

Provides for coordination of office operations as they relate to workflow, public relations, office and student volunteers, furniture and equipment operation and maintenance, facility safety and maintenance, receipt of funds. Participates in creation and accomplishment of office goals and assists with office events. Provides area-wide support and planning for the phone and voicemail systems. Coordinates with property managers, employees, vendors, volunteers and SJH departments in conducting all aspects of the job.


Position Specific Responsibilities

• Maintains Memorial Hospice and North County Hospice receipt of funds systems.

• Provides coordination of office systems relating to workflow, systems, supplies, equipment, facility operations and maintenance, clinical equipment (cell phones and pagers). Conducts safety audits and performs fire drills.

• Demonstrates effective organization and supervision skills including training, support, acknowledgment, delegation, problem solving, planning and implementation of projects and events, and coordination of office and student volunteers.

• Demonstrates effective phone coverage and public relations. Backs up Secretary and trains others to handle phones and front desk duties.

• Enforces safety policies and procedures and safe practices by staff and volunteers. Conducts safety inspections and fire drills.

• Performs other duties as assigned.

 


Education and/or Experience

Required - H.S. Diploma or GEDPreferred - Coursework/Training 2 years of college education.Required - General office experience utilizing organization planning, management skills and supervision of staff.Required - 1 year Directly related experience.Required - 2 years Experience in data entry.


Skills

Computer Skills: Competent in MS Word, Excel, Outlook and Netsmart (EHR).Other Skills and Abilities: Ability to identify key stakeholders in projects.Other Skills and Abilities: Demonstrates knowledge of duties of Secretary/Receptionist.Other Skills and Abilities: Self-directed with ability to work collaboratively and manage multiple tasks.Other Skills and Abilities: Good verbal and written communication skills.Other Skills and Abilities: Demonstrates ability to work as a team member.Other Skills and Abilities: Good organization skills.Other Skills and Abilities: Required to work a flexible schedule. Available ‘on call’ for facility emergencies.

Physical Demands and Work Environment: The demands of this role necessitate a team member to effectively perform essential functions. Adaptations can be made to accommodate team members with disabilities. Regular standing, walking, and manual dexterity are fundamental, along with the ability to lift and move objects up to 25 pounds. Visual acuity requirements include close and distance vision, color and peripheral vision, depth perception, and the ability to adjust focus. Compensation range: $27.85 - $42.61 

  

The amounts listed are the base pay range; additional compensation may be available for this role, such as shift differentials, standby/on-call, overtime, premiums, extra shift incentives, or bonus opportunities
