Description
We are looking for an Administrative Coordinator to join our team in Washington, DC. This Contract-to-Permanent position is ideal for someone who excels in organizational tasks, document management, and maintaining compliance across systems. The role offers an opportunity to contribute to the efficient operation of a quality management system while collaborating with various teams.
Responsibilities:
• Serve as the administrator for document control systems, training platforms, and record management applications, ensuring smooth functionality and user support.
• Review and edit documents for formatting, style consistency, and adherence to controlled document procedures.
• Manage submissions received via the organization's website, initiating appropriate processes to address challenges and issues related to the quality management system.
• Maintain essential records to ensure compliance with management system standards and signatory obligations, including documentation of international and regional cooperation activities.
• Compile and prepare reports to monitor the effectiveness of management system operations, addressing areas such as complaints, appeals, challenges, and risk management.
• Support the implementation, maintenance, and completion of projects aimed at improving the organization's management system processes.
• Coordinate scheduling, calendar management, and administrative tasks to streamline operations and enhance team productivity.
• Respond to inbound calls and inquiries, providing timely and thorough assistance.
• Assist with administrative oversight and management to ensure adherence to established procedures and policies.
Requirements • Proven experience in administrative roles, with a focus on organizational and document management.
• Proficiency in platforms such as ShareFile, online survey tools, and database applications.
• Strong ability to format and edit documents with precision and attention to detail.
• Familiarity with quality management systems and compliance standards, such as ISO 17011 or similar.
• Excellent communication skills, both written and verbal, to handle inquiries and coordinate processes effectively.
• Demonstrated expertise in scheduling, calendar management, and administrative oversight.
• Ability to work independently while managing multiple tasks and priorities.
• Proficiency in Microsoft Office Suite and other relevant software tools. TalentMatch®
