Administrative Coordinator
Description We are looking for an experienced Administrative Coordinator to join our team in Lake Forest Park, Washington. This is a contract position where you will play a critical role in supporting the Community Development Department by managing permit applications, maintaining records, and ensuring efficient administrative operations. The ideal candidate is detail-oriented, organized, and capable of providing excellent customer service while adhering to regulatory standards. Responsibilities: • Process building and land use permit applications, assign permit numbers, and collect applicable fees. • Enter application details into a permit tracking database and maintain accurate records. • Route files to appropriate departments for plan reviews and ensure proper file setup. • Audit files for expiration, renewals, and final inspections, and prepare notification letters as needed. • Provide guidance to applicants regarding the permit process, applicable codes, and expected timelines. • Conduct research on property documentation and prior land use actions to resolve customer inquiries. • Maintain databases for permits and tax parcel information, ensuring accuracy and completeness. • Support the Community Development Department by managing personnel activity reports and statistical data on permitting activities. • Handle administrative tasks such as calendar management, budget processes, and communication with stakeholders. Requirements • Proficiency in ADP Financial Services and Concur for administrative and financial tasks. • Experience using CRM systems and tools for managing customer relationships. • Familiarity with Cisco Webex Meetings and other collaboration platforms. • Strong skills in answering inbound calls and providing clear communication. • Ability to manage calendars and coordinate schedules efficiently. • Knowledge of budget processes and financial reporting. • Attention to detail and ability to audit files for compliance and accuracy. • Excellent problem-solving skills and ability to conduct research on property documentation.
