Administrative Coordinator
Description Key Responsibilities: Privacy Oversight + Collaborate with senior management and leadership to develop, implement, and maintain an organization-wide Privacy Oversight function. + Conduct risk assessments, monitor compliance with privacy policies, and implement sanctions for non-compliance as appropriate. + Work with legal counsel and cross-functional teams to ensure consistent adherence to privacy and confidentiality standards, including HIPAA and 42 CFR Part 2. + Establish mechanisms for tracking access to protected health information (PHI) and ensuring patient rights to access, amend, and restrict information. + Serve as a resource on privacy-related compliance, providing training and maintaining awareness across departments and third-party associates. + Manage privacy-related audits, investigations, and complaints in collaboration with internal teams and legal counsel. + Align privacy policies with organizational security practices, working closely with IT governance and information systems departments. + Serve as a consultant for privacy matters across the organization, ensuring legal compliance and keeping leadership updated on advancements in privacy technologies and regulations. Health Information Management + Oversee day-to-day operations of medical records across multiple clinic locations, ensuring compliance with AHIMA standards and state/federal regulations for Substance Use Disorder (SUD) treatment facilities. + Coordinate and execute medical record audits to ensure the confidentiality, integrity, and availability of patient data. + Identify and implement process improvements to enhance efficiency and compliance in medical record management. + Develop and deliver training materials for staff on HIM processes, workflows, and best practices. + Collaborate with clinical informatics and IT teams to optimize medical record systems, providing recommendations for improved workflows. + Maintain expertise in current laws regarding medical records, fees, and privacy regulations such as HIPAA and 42 CFR Part 2. + Coordinate regular meetings and site visits to oversee compliance with medical records procedures at various locations. + Provide excellent customer service by addressing internal and external inquiries professionally and promptly, ensuring stakeholder satisfaction. + Requirements • In-depth knowledge of federal and state privacy laws, including HIPAA and 42 CFR Part 2. • Expertise in standards for health information management and medical record practices. • Strong analytical skills to conduct audits, manage risks, and recommend process improvements. • Proven ability to work across departments and deliver training on privacy and health information topics. • Exceptional attention to detail and organizational skills to ensure compliance and efficient record management. • Outstanding customer service abilities to address inquiries and support stakeholders professionally. • Familiarity with electronic health record (EHR) systems such as Allscripts and Cerner Technologies. • Proficiency in handling billing functions, clinical trial operations, and claim administration processes.
