We are looking for a dedicated Administrative Coordinator to join our team in Federal Way, Washington. In this long-term contract position, you will play a crucial role in ensuring seamless communication with clients, managing administrative tasks, and maintaining compliance with organizational policies. The ideal candidate will demonstrate strong interpersonal skills, attention to detail, and the ability to handle sensitive information responsibly.
Responsibilities:
• Respond promptly to customer inquiries via phone, addressing questions about services, appointments, and processes.
• Conduct outbound calls to clients to gather necessary information, provide reminders, or assist with completing required forms.
• Troubleshoot issues related to background checks, training, and specialized services, ensuring clients receive accurate and timely assistance.
• Guide customers through various procedures, escalating complex issues to appropriate departments when necessary.
• Maintain strict confidentiality and adhere to all data privacy regulations and organizational policies.
• Accurately document call details and interactions in the customer relationship management system.
• Develop a thorough understanding of healthcare programs, services, and practices to provide informed support.
• Deliver exceptional customer service by demonstrating empathy, patience, and professionalism when interacting with diverse populations.
• Offer constructive feedback to improve processes and enhance the overall customer experience.
• Contribute to organizational success by proactively identifying opportunities to streamline workflows and add value.
Requirements • Minimum of 1 year of experience in a customer service or administrative role.
• Strong communication skills, both verbal and written, with the ability to engage effectively with clients.
• Proficiency in troubleshooting and resolving issues related to administrative processes.
• Familiarity with data management tools, including customer relationship management systems.
• Ability to maintain confidentiality and comply with data privacy regulations.
• Excellent organizational skills and attention to detail.
• Empathy and patience when working with diverse client populations.
