Minimum Qualifications Three years of experience in administrative services. EXPERIENCE SUBSTITUTION: Every 15 semester hours earned from an accredited college or university will be credited as six months of experience. Job Duties and Other Information Job Duties: + Receives students into the Student Counseling Center through scheduling software on computer, Receives documentation from students, faculty, department advisors and outside vendors for student Accommodation requests. Uses electronic, print and social media for collection of student contact data for State reporting on a weekly and monthly basis. Develops queries that tabulates and summarizes data, identify trends and concerns and prepare summary reports based on student data. Maintain filings of student documentation per Student Counseling Center policy and applicable laws, regulations and rules + Coordinates and monitors the administrative activities of Student Counseling Center. Develop and design forms and material related to Counseling Center Services, Develop and maintain calendars for program services completed by staff and director in the Counseling Center, Complete agenda and meeting minutes for Counseling Center monthly meetings, Maintain employee files based on university regulations, applicable policy and procedures. Serves as a technical resource to the Counseling Center and trains staff on office procedures and the use of a variety of office machines, equipment and computer software. Oversees maintenance of the Student Counseling Center building along with Facilities. Prepares memorandum for campus departments and outside vendors for the Counseling Center. Maintain timesheets for staff and student workers for Payroll processing, + Maintain calendar also for the Student Counselor Center director. Complete travel for the director which includes completing air fare, registration and hotel accommodations. Complete travel authorization and travel expense/reimbursement requests for Counselor director. Complete mission and policy statements for the Counseling Center per university rules, applicable laws and regulations. Maintain Counselor director counseling appointment calendar for students, department staff and faculty and outside vendors. Assist with OVW grant program and disability accommodations requests for students. Update web pages for the Counseling Center per discretion from Counseling Center director, + Prepares and maintains requisitions for the Counseling Center which includes office supplies, director and staff membership dues and items for the Student Counseling Outreach programs, training and workshops that are held on campus. This also includes monitoring budgets for Student Counseling Center and the OVW Grant Program for the Emergency Crisis Counselor. Attends trainings, workshops and meetings in absentia of the Counselor Center Director.
