We are committed to creating an environment where every team member feels included, respected, empowered and recognised. **What You Can Expect** The Administrative Assistant is responsible for general office administration, facility and vendor management, logistical coordination for meetings and events, and providing cross-departmental administrative support. **How You'll Create Impact** **Perform routine administrative tasks for the GA department** + Maintain inventory of office supplies and process related expenses. + Ensure the office premises and security systems are properly maintained. + Assist with preparations for the Ghost Festival offering and the Opening Ceremony blessing. + Oversee the work of outsourced vendors in floor waxing, carpet cleaning, and indoor disinfection. + Manage the GA storage room and ensure items are neatly organized. **Support internal events such as Kick Off Meeting, Year-End Dinner, and team activities.** + Support Kick Off Meeting, Year-End Dinner and internal events logistics and coordination. + Assist with employee welfare activities, including trips, bonus and events. **Handle incoming calls, inquiries, and visitor reception in a professional and friendly manner.** + Screen phone calls, enquiries, and requests, and handle them when appropriate. + Receptionist/ Liaise with external visitors. **Ensure timely renewal of mandatory safety and health license.** + Update Class-1 manager of Occupational safety and health affairs License every 2 years. + Update First Aider's Safety & Health Education license every 3 years. + Update Fire Prevention Management License every 3 years. **Maintain updated employee contact lists and arrange office essentials for new hires.** + Update the employees phone list on a regular basis. + Arrange office supplies, business cards, ID access badge for new employee. + Access card and printer setup for new employee. **Handle ad hoc tasks assigned by superior** **What Makes You Stand Out** **Skill** + MS Word/Excel/Outlook/PowerPoint + Intermediate in English. **Attitude & Personality** + Maintain positive working relationships with both internally and externally. + Easygoing, detail-oriented and self-initiative **Your Background** + University graduate or equivalent EOE/M/F/Vet/Disability
