What we want
The Administrative Associate V, under general supervision, coordinates administrative support for a unit or specialized activity to include the exercise of discretion and independent judgement with respect to matters of significance.
What you need to know
Pay: $18.00-$19.00/hr

Schedule: This position may require work beyond normal office hours and/or work on weekends
Qualifications
Required Education and Experience
+ High school graduation or any equivalent combination of education and experience.
+ Five years of experience in general office or clerical work.
Required Special Knowledge, Skills, and Abilities
+ Knowledge of word processing, spreadsheet, database, and presentation applications.
+ Ability to multitask and work cooperatively with others.
+ Excellent interpersonal and communication skills.
+ Planning and organization skills.
+ Ability to work with faculty, staff, and students in a professional academic department with tact, diplomacy, and confidentiality.
+ Able to lift/move 50lbs
Responsibilities
Office Management/Administration
+ Maintains consistent and reliable office presence to greet visitors, manage incoming calls, and ensure smooth front desk operations.
+ Performs daily opening and closing procedures of the office.
+ Manages various department parking permits
+ Maintains and orders office and copier supplies
+ Receives, sorts, and routes mail and packages
+ Manages department room reservations
+ Assists with scheduling of Departmental meetings
+ Assists with office assignments
+ Assists with coordination and planning of special events and coordination of logistics related to the events.
+ Provides administrative support to the Executive Assistant.
+ Provides support for VLCS Administrative staff as needed
+ Provides backup support to seminar coordinator
Faculty Support
+ Assists faculty with entering and updating CV information into Faculty 180 and tracking for completion
+ Assists faculty with tracking of flex time
+ Assists House Officers with time off request
+ Manages adding and renewing Departmental Adjunct Faculty.
+ Provides general clerical duties for the faculty members of the department
+ Assists with general correspondence, recommendation letters, nomination letters, forms, and CV’s.
Faculty/House Officer Recruitment
+ Assists with Faculty and Resident recruitment, including, assisting with the coordination of itineraries, setting up meetings and preparing materials.
+ Assists the House Officer Coordinator with Veterinary Internship & Residency Program (VIRMP) process to hire House Officers (Interns/Residents), including but not limited to, assisting with pulling applicants, organizing files, confirming applications are qualified for the positions and sharing those results with Program Directors.
