Overview
A leading global alternative asset manager is seeking an experienced Administrative Assistant to support a senior executive and select members of its private equity team. This organization manages over a trillion dollars in assets across private equity, real estate, credit, infrastructure, and other strategies, creating long-term value for investors and the communities it serves.
The San Francisco-based team is exclusively focused on technology-sector investments-primarily software and internet opportunities-within a global, industry-agnostic private equity platform.
Key ResponsibilitiesComplex calendar management: Schedule internal and external meetings, coordinate with other assistants, manage scheduling conflicts, and confirm appointments.
Travel coordination: Arrange domestic and international travel, including flights, visas, passports, hotels, cars, and other reservations.
Meeting and visitor logistics: Book conference rooms, greet guests, and register visitors.
Expense management: Prepare and track expense reports and reimbursements.
Stakeholder communications: Serve as a primary point of contact for internal and external stakeholders, ensuring timely and professional interactions.
On-site coordination: Support visiting senior professionals from other offices.
General support: Answer calls, act as gatekeeper, provide back-up assistance to other executives, and help coordinate team or office-wide events.
QualificationsExperience: 10+ years of administrative assistant experience, preferably in financial services, investment management, or other fast-paced professional settings.
Communication & interpersonal skills: Strong written and verbal communication; high emotional intelligence; ability to build positive relationships across all levels.
Organization & attention to detail: Ability to manage competing tasks and deadlines with accuracy and discretion.
Proactive & resourceful: Works well independently and collaboratively, with strong follow-through and problem-solving skills.
Technical proficiency: Strong Microsoft Office (Outlook, Word, Excel, PowerPoint) skills; familiarity with Concur or similar expense platforms preferred.
Travel coordination expertise: Experienced in arranging complex international and domestic itineraries.
Compensation & BenefitsBase salary range: $90,000- $130,000 annually, depending on skills, experience, and location.
Additional compensation and benefits: May include discretionary bonuses, equity or incentive plans, comprehensive medical/dental/vision coverage, life insurance, 401(k), flexible spending accounts, and paid time off.
Additional InformationThis position is based in San Francisco, California.
