AGS is looking for an Administrative Assistant-Scheduling Manager to work in El Paso, TX. This candidate provides administrative support, clerical accounting and personnel tasks, and general office support for the Project Management Office (PMO) at Camp East Montana, El Paso, Texas.
Akima Global Services (AGS) LLC, has requirements for security guard services for Camp East Montana, El Paso, TX. These requirements require a support staff that includes general administrative, clerical, personnel, funds management and office support. The Administrative Assistant provides administrative and clerical support related to maintaining scheduling and accurate records for the subcontract. Due to the sensitivity of this position, the role requires discretion and confidentiality related to the work performed. This position requires the ability to work independently and with minimal supervision. The position reports to the Scheduling Manager and is fully accountable to the Project Manager. **Responsibilities**
Works under the general supervision of the CA. The Scheduler is responsible for making and approving employee schedules, ensuring staff are properly assigned to posts they are qualified for, and for recording call-offs, leave of absence, and personal or sick time off. The Scheduling Manager will be required to have experience and knowledge of electronic scheduling software and have a working knowledge of Microsoft programs such as Word and Excel. Perform other duties as required and assigned.

+ Input all daily time records, reconcile, and make corrections, within allotted timeframes/payroll deadlines
+ Approve weekly schedules, review the work of Schedulers assigned to the Scheduling Manager
+ Complete other data entry as assigned
+ Scan, copy, and distribute documents to staff and managers
+ Verify and maintain appropriate inventories of office supplies
+ Maintain electronic and paper files
+ Edit and format documents in Microsoft Office 2013 or earlier and Acrobat X Pro
+ Maintain correspondence and records
+ Answer incoming calls and route as appropriate or take and deliver messages
+ Other administrative related duties as assigned
**Qualifications**
+ Must be a U.S. Citizen; or Lawfully Admitted Permanent Resident with five years of successive residency
+ Must be at least 21 years of age
+ Must have a H.S. Diploma; an Associate’s or Bachelor’s degree are preferred
+ Must have Intermediate to advanced working knowledge of MS Word, Excel, Outlook, and the internet
+ Must have excellent data entry skills (typing numbers without errors)
+ Must have excellent English language oral and writing skills
+ Must have exceptional organizational and multi-tasking skills to support fast-paced work environment
+ Must be willing and able to work nights, weekends, and holidays to accommodate payroll deadlines
+ Must have at least 3 years’ experience in an office administrative capacity, preferably including similarly situated experience
+ Must be able to fluently read, speak, write, and understand the English language
+ Must have intermediate to advanced English writing skills
+ Must have ability to read and interpret documents; write routine reports and correspondence; and communicate effectively and enthusiastically with applicants and employees
+ Must be able to pass a company background investigation to include criminal, credit and driving record, and fingerprint checks
+ Must provide two personal references who will be contacted
+ Must meet client suitability
**Physical Requirements:**
+ Sitting for long periods of time performing data entry on a desktop computer; using a standard or ergonomic mouse and keyboard
+ Receive and unpack large packages, office equipment, and office supplies (requires ability to lift up to 15 pounds)
+ Maintain employee and office files; store and retrieve equipment and supplies on standard sized office shelves (requires kneeling, bending, reaching)
+ Verify inventories and order as appropriate
