Job Title: Administrative Assistant / ReceptionistJob Description

The Administrative Assistant / Receptionist will serve as the first point of contact for visitors and callers, providing a warm and professional presence at the front desk. This role involves answering and routing calls, greeting and assisting visitors, and supporting various departments through administrative and clerical tasks. Additionally, the position involves organizing office operations, coordinating events, and managing office supplies.

ResponsibilitiesAnswer and route incoming calls to appropriate personnel.Provide a warm, positive, and professional presence at the front desk.Greet and assist visitors, ensuring all sign-in/sign-out procedures are followed.Maintain the site phone directory and visitor logs.Perform general clerical and administrative duties for multiple departments.Assist with document preparation, data entry, and spreadsheet updates.Manage conference room calendars and the facility’s welcome/visitor boards.Organize and maintain digital bulletin boards and communication screens.Support colleagues with miscellaneous projects as time allows.Prepare UPS and outgoing mail, meter postage, track shipments, and sort incoming mail.Maintain office supply inventory, place orders, and ensure storage areas remain organized.Coordinate domestic travel arrangements when needed, including booking flights, hotels, and itineraries.Book hotel rooms for visitors or employees as applicable.Order lunches for team meetings, client visits, or on-site events as needed.Coordinate catered meals, set up food service areas, and ensure proper cleanup after events.Assist with planning and supporting internal team gatherings or small company events.Essential SkillsHigh School Diploma or equivalent.1+ year of experience in reception, administrative support, office operations, or customer service.Proficiency with Microsoft Office Suite (Excel, Outlook, Word, PowerPoint).Strong organizational skills, accuracy, and attention to detail.Excellent communication and interpersonal skills.Ability to stay calm, positive, and professional in a high-traffic environment.Willingness to learn quickly and take on new tasks with enthusiasm.Ability to build strong working relationships with employees, vendors, and visitors.Additional Skills & QualificationsExperience with ERP systems is a plus.Personable, friendly, and customer-focused.Proactive and able to work independently.Comfortable managing multiple tasks at once.Flexible and willing to support different departments as needed.Eager to learn new skills, systems, and processes quickly.Work Environment

The role entails a standard 40-hour workweek on-site, with occasional needs outside standard business hours. The work environment requires proficiency in various software platforms, including Microsoft Office and ERP systems. The role involves interacting with all levels of employees, vendors, and guests, requiring a professional and approachable demeanor. The dress code is professional as the position represents the front desk and company.

This is a Contract to Hire position based out of North Canton, OH.

Pay and Benefits

The pay range for this position is $25.00 - $25.00/hr.
