Primary Administrative Assistant Responsibilities:
Provide administrative support to business leaders, including calendar management, travel arrangements, and expense reporting.Organize logistics of complex meetings/seminars and trainings.Responsible for supporting team building activities (awards, celebrations, etc).Order supplies and services for the team using preferred company system. Follow up on payment of invoices.Update organization charts and populate scorecards.Coordinate and schedule meetings and ensure all vital resources are available.Prepare and edit correspondence, reports, and presentations.Manage incoming and outgoing communications.Coordinate and prioritize company events and functionsWell-versed in technical office tools and software applications.Maintain a high level of integrity and confidentiality at all times.Supports the business by proactively handling projects and enabling other team members to do their jobs.Secondary Responsibilities: Support additional areas of responsibility, including tracking and monitoring team budgets, flagging over / under-spending to management, Artwork SPOC, etc.
Serve as Total category artwork execution SPOC by managing the artwork process for total category, including purchase orders, agency partner relationship & project timelines.Act as Vendor Management Process Owner for expenses, handling goods receipt, confirming proof of performance, and when necessary, initiating the purchase order process to enable projects, and owning all sampling orders for the category.Job Qualifications
