Provide reception and administrative duties at the main reception desk in the Calgary office including greeting and registering visitors. The position also provides administrative duties to support the Real Estate and Facilities Team and the operations of the Calgary Office.
Job Roles and Responsibilities:
· Reception Duties:
o Perform opening and closing duties for the reception area.
o Answer and redirect phone calls through the switchboard.
o Greet and assist visitors and vendors who attend the Calgary office.
o Administer the visitor management system for the Calgary Office.
· Security Administration:
o Administer daily request for security access cards for staff, vendors and visitors.
o Support the Facilities and Security Specialist with security access card audits and tracking.
· Meeting Room Management:
o Managing bookings and setups for managed meeting rooms in the Calgary Office
o Assist with managing meeting room accounts in Outlook.
· Mailroom support:
o Provide backup support to the Mail and Facilities Clerk
· General Administration:
o Provide back-up support to company administrative staff as required.
o Participate in emergency response drills and be a key participant in all such staged and real events
Qualifications:
Basic/Required Qualifications
· High School Diploma
· Minimum 3 years reception and administrative experience
Preferred Qualifications/Skills
Strong customer service and communication skills Microsoft Office and SAP expertise High degree of professionalism Organized with good attention to detail. Ability to work under pressure. Strong commitment to safety and security
