Summary: Seeking an Administrative Assistant III with expertise in Excel and Smartsheet for project coordination and administrative tasks.
High school diploma or equivalent required
Minimum 2 years of related experience preferred
Certification in assigned area preferred
Proficiency in Excel and Smartsheet necessary
Flexibility to handle both administrative and project tasks
Responsibilities:
Perform general administrative duties including photocopying, coordinating meetings, typing, faxing, ordering supplies, arranging travel, and preparing/sorting mail
Serve as a point of contact within the organization for customers
Answer questions related to established policies and procedures
Coordinate projects/assignments independently using internal/external resources
Assemble/distribute materials; compile/track data; verify data accuracy
Make decisions within guidelines on planning, organizing, and scheduling work
Create/type routine documents ensuring grammatical/spelling accuracy
Manage confidential information appropriately
Review reimbursement documentation; submit vendor requests; follow up on missing information
Research payment status; generate/send out COS as needed
Provide specialist support and coverage when necessary
Coordinate banner orders, trip kits, course supplies
Manage central inbox; process HCP COS forms/reimbursement requests timely
Support local program requests including MRF creation in GMM and engagement creation in ENGAGE
Update SmartSheet ensuring program checklists are complete
Pay Details: $20.00 to $25.00 per hour
