We are looking for a detail-oriented and culturally aware Global Mobility Administrative Assistant to provide administrative and logistical support to expatriates during their relocation and settlement process. This role plays a vital part in ensuring that expats receive accurate information, timely assistance, and a welcoming experience as they transition into their new environment. In addition, this role will provide ongoing expat support, as needed.
Key Responsibilities:Assist expats with daily administrative needs such as expense reporting, document preparation, appointment scheduling, and service setup (e.g. utilities, phone, bank accounts).Maintain accurate records of expat files, including visa applications, lease agreements, and onboarding documents.Coordinate with internal teams and external vendors to support housing, transportation, and integration services.Provide guidance on local administrative procedures including government registration, ID cards, and healthcare enrollment.Prepare welcome packets, relocation checklists, and orientation materials for incoming expatriates.Manage calendars, organize meetings, and facilitate communication between expats and relevant departments or service providers.Respond promptly to expat inquiries and escalate complex issues appropriately.Support events and initiatives that help expats integrate into their new community or workplace.Qualifications:Proven experience in an administrative or support role (preferably in HR, relocation, or a multinational organization).Strong organizational and time-management skills.Excellent communication skills.High level of cultural sensitivity and professionalism when working with international clients.Ability to multitask and work independently in a fast-paced environment.Knowledge of immigration or relocation processes is a strong asset.Customer service experience in an international or hospitality context.Salary Midpoint: $71,568/yr. This base salary range is a good faith estimate. Based on candidate skills/experience the final offer may be lower/higher.
