Administrative Assistant/Field Service Administrator
**Schedule: Onsite Role, (7:00 am to 4:00 pm) M-F** **Description:** Performs routine administrative duties: placing, receiving and routing telephone calls; receiving and directing visitors, typing, filing, faxing, handling incoming and outgoing mail, ordering and maintaining supplies, and providing backup coverage to other administrative desks. **Job Specific Requirements:** • Generate weekly/monthly service reports and dashboards around scheduling, invoicing, and technician training matrix. Maintain field service follow-up reports and actively monitor resolution of pending issues from the field. • Review time and expense documents to calculate billable and non-billable hours and report to finance. • Schedule and communicate with customers (internal and external) in an effort to maintain efficient and profitable utilization of the Field Service Team. Maintain a shared calendar of field service activities. • Ensure the Field Service Engineers are certified to work on equipment for upcoming jobs. Review current certification for upcoming renewal requirements. Ensure technicians have the appropriate equipment and qualifications for their site visit. • Work with customers, vendors, contractors, and internal individuals to provide quotes and obtain purchase orders. Maintain log of active estimates and follow up with customers on service status. • Order needed work equipment, tools and handled the administrative portion of maintaining, ordering, and retrieving Fleet vehicles. Create POs for payments to vendors as needed. • Facilitate and organize the team and cross-functional meetings to resolve field service-related questions/issues. • Provide telephone support for the Field Service Department. Independently acts on questions or issues and/or redirects customers or Field Service technicians to the appropriate areas (if needed) for resolution. • Collect field service technician timesheet and overtime weekly. • Work with the Field Service Manager to ensure the Field Service Engineers have the necessary instructions on fieldwork requirements prior to arriving at the customer site. • Assist in providing process improvements to the department. • Assist field service team with obtaining travel documentation as needed. • Manage vendor\supplier process, including invoicing and payment. • Perform other duties as assigned **About US Tech Solutions:** US Tech Solutions is a global staff augmentation firm providing a wide range of talent on-demand and total workforce solutions.
