Overview
The Administrative Assistant (Facility) supports the Facility Manager and maintenance staff by handling administrative tasks, scheduling, data entry, invoicing, and vendor/customer communication. This role requires professionalism, organization, and excellent customer service.
Responsibilities
Manage calls, emails, and vendor requests. Maintain records using Microsoft Office and CMMS. Assist with onboarding, compliance training, and background checks. Order office supplies and organize files. Schedule and coordinate meetings. Process invoices and manage work orders. Ensure office organization and cleanliness.
Qualifications
High School Diploma or GED (Required); Associate’s Degree (Preferred). 1-3 years of administrative experience (Required); Accounts Payable experience (Preferred). Proficiency in Microsoft Office (Word, Excel, Outlook). Strong communication, organizational, and multitasking skills. Ability to work independently and in a team. Notary License (Preferred).
