Administrative Assistant - Commercial Property
Description About the Organization: Our client is a well-established commercial real estate firm based in La Jolla, CA, with a strong reputation for managing a diverse portfolio of office, retail, and mixed-use properties throughout the region. They are currently seeking a detail-oriented and proactive Administrative Assistant to support their property management team and help ensure smooth day-to-day operations. Position Overview: The Administrative Assistant will play a key role in supporting Property Managers with administrative tasks, tenant communication, and operational coordination. This is an excellent opportunity for someone with a strong administrative background and interest in commercial real estate. Key Responsibilities: + Provide administrative support to property management team, including scheduling, document preparation, and data entry + Assist with tenant communication and follow-ups regarding maintenance, notices, and inquiries + Prepare and maintain lease files, vendor contracts, and property-related documentation + Help process invoices, track expenses, and assist with budget documentation + Coordinate property inspections, vendor visits, and maintenance requests + Manage and update internal databases and property management systems + Support special projects and reporting needs as assigned by the property management team + Maintain confidentiality and professionalism in handling tenant and property information Requirements Qualifications: + 2+ years of administrative experience, preferably in property management or commercial real estate + Strong organizational skills and attention to detail + Excellent verbal and written communication skills + Proficient in Microsoft Office Suite (Word, Excel, Outlook); experience with Yardi, MRI, or similar software is a plus + Ability to multitask and prioritize in a fast-paced environment + Professional, team-oriented, and customer-service focused TalentMatch® Robert Half is the world’s first and largest specialized talent solutions firm that connects highly qualified job seekers to opportunities at great companies.
