Job Title: Administrative Assistant
Responsibilities
Answer inbound phone calls from tenants and prospective residents and provide timely, professional assistance.Conduct in-person tours of vacant apartment properties for potential tenants and clearly explain features, amenities, and leasing terms.Create and update maintenance requests for tenants in the internal database to ensure issues are accurately logged and tracked.Qualify applicants by reviewing information, registering them in the system, and supporting the application process.Organize contractors to attend to maintenance issues and coordinate with landlords where applicable to ensure timely resolution.Maintain and update property files to ensure all records are accurate, complete, and current.Prepare, print, and distribute property lists for prospective tenants, team members, and other stakeholders as needed.Handle day-to-day office operations to support smooth functioning of the leasing and property management activities.Assist sales team members with administrative tasks, coordination, and documentation related to property sales or leasing.File general office paperwork and sales-related documents in an organized and accessible manner.Prepare reports as needed, using available data and systems to support management and operational decision-making.Maintain office supplies by monitoring inventory, placing orders, and ensuring the office remains well stocked.Essential Skills
1\u20132 years of administrative experienceStrong administrative support and office support skills, including filing, documentation, and organization.Customer service and customer care experience, with the ability to communicate clearly and professionally with tenants and prospective residents.Basic proficiency with Microsoft Suite, including Microsoft Word and Microsoft Excel.Experience using Microsoft Office tools for data entry, reporting, and document preparation.Ability to perform accurate data entry and maintain detailed records in internal systems and databases.Familiarity with leasing and property management processes, including applications, maintenance requests, and tenant communications.Basic administrative or receptionist experience in either commercial or residential property settings.Comfort using Google Drive for file storage, sharing, and collaboration.Ability to support real estate and residential property operations in a fast-paced office environment.Work Environment
This position operates in a residential property office environment with standard business hours of Monday through Friday, 9:00 a.m. to 5:30 p.m., along with rotating weekend shifts to support tenant needs and property tours. The role involves regular use of office technology, including computers, internal databases, Microsoft Office (Word, Excel), and Google Drive.

Pay and BenefitsThe pay range for this position is $20.00 - $22.00/hr.
