Job Description
This Administrative Assistant role provides critical support to a fast-paced manufacturing environment by managing front desk activities, performing data entry, and assisting with inventory and administrative tasks across multiple departments. The position focuses on monitoring facility access, maintaining accurate records, and supporting internal events and initiatives that enhance employee engagement.
ResponsibilitiesMonitor the facility entrance, check in guests, and ensure proper sign-in procedures for visitors.Provide front desk administrative support, including greeting visitors, answering basic inquiries, and directing guests appropriately.Perform accurate data entry for manufacturing administration, inventory records, and other departmental needs.Assist with inventory auditing by helping track counts, reconcile records, and support audit documentation.Support manufacturing and other departments with general administrative tasks as needed.Assist with organizing employee appreciation events, including coordinating logistics, ordering supplies, and arranging catering.Maintain organized records and documentation to support operational efficiency.Proactively identify needs, offer assistance, and follow through on tasks in a timely manner.Collaborate with team members in a fast-paced environment and respond quickly to changing priorities.Essential SkillsProven administrative support experience in a fast-paced environment.Proficiency with Microsoft Office and related Microsoft tools.Strong data entry skills with attention to detail and accuracy.Ability to support inventory audits and maintain accurate inventory-related records.Demonstrated ability to anticipate needs and proactively offer help.Problem-solving mindset with the ability to take initiative and resolve issues independently.Ability to work efficiently and complete tasks promptly without delaying team workflows.Strong communication and interpersonal skills for interacting with visitors and internal staff.Comfort working in close proximity to a manufacturing or production setting.Additional Skills & QualificationsPrevious experience in a manufacturing environment is preferred.Experience supporting inventory management or auditing processes is an advantage.Ability to remain composed and resilient in a direct, high-energy environment.Strong organizational skills and the ability to manage multiple tasks and priorities.Comfort coordinating events, including ordering supplies and working with vendors for catering.Work Environment
This role is based in an office environment located near a paint production plant, providing close interaction with manufacturing operations. The schedule follows a Monday through Friday shift from 6:00 a.m. to 2:30 p.m. The position is currently an open-ended contract, with duration subject to change due to ongoing organizational adjustments. The team operates in a very fast-paced setting where responsiveness, reliability, and a proactive approach are highly valued.

Pay and BenefitsThe pay range for this position is $23.00 - $23.00/hr.
