We are seeking a reliable and detail-oriented Administrative Assistant to support daily operations at a busy construction site office. This role is essential to keeping administrative processes running smoothly, including employee onboarding, timecard tracking, document management, and general office coordination. The ideal candidate is organized, proactive, and comfortable working in a fast-paced, project-driven environment.
Key ResponsibilitiesSupport onboarding activities for new employees, including preparing paperwork and assisting with system access and setupAccurately enter and submit employee timecards on a timely basisManage the company phone system and related applications, including device ordering, replacements, assignments, and basic troubleshootingMaintain organized digital filing systems and ensure documents are properly stored and updatedCreate, update, and maintain documents, spreadsheets, and databases to support office and project operationsSet up employee logins, manage passwords, and process resets in accordance with security proceduresMonitor office equipment, perform basic troubleshooting, and coordinate with vendors for repairs or serviceAssist with preparing meeting presentations and take clear, accurate meeting minutesHelp maintain a clean, organized, and efficient office and facility environmentOrder, track, and manage office supplies, including branded apparel, gifts, and staff uniformsManage contractor and business licenses, ensuring records and documentation are current and accurateCollaborate with another administrative assistant and project managers to support day-to-day site operationsRequired QualificationsMinimum of 2 years of administrative experienceStrong organizational, scheduling, and document management skillsProficiency in Microsoft Office applications (Word, Excel, Outlook)High level of accuracy and attention to detail, particularly with data entryAbility to manage multiple priorities in a fast-paced environmentStrong written and verbal communication skillsComfortable troubleshooting basic office equipment and phone system issuesExperience working with digital filing systems, spreadsheets, and databasesPreferred QualificationsPrevious experience in a construction or manufacturing environmentFamiliarity with phone systems and mobile or desktop applicationsExperience coordinating with external vendors and service providersAbility to prepare presentation materials and capture concise meeting minutesComfortable working independently as well as collaboratively within a small teamJob Type & Location
This is a Contract to Hire position based out of Johnstown, OH.
Pay and BenefitsThe pay range for this position is $19.00 - $21.00/hr.
