Administrative Assistant

Responsibilities

Act as the primary point of contact for customers and ensure they receive a world-class customer experience.Serve as a key member of the site team to help meet or exceed customer expectations and business objectives.Convert customer purchase orders into manufacturing production orders accurately and in a timely manner.Ensure raw materials and tooling are ordered and available to support production schedules.Communicate professionally and respectfully with internal and external customers regarding order status, estimates and quotations, order changes, and order confirmations.Monitor and manage customer inventory levels to support on-time delivery and minimize obsolescence.Investigate and resolve order discrepancies, customer quality complaints, overdue accounts receivable, and aged inventory issues.Establish strong working relationships and communicate daily with operations, shipping, and maintenance teams to stay informed about plant activities that may impact customer order fulfillment.Demonstrate a thorough understanding of plant-specific manufacturing capabilities and how they affect customer orders.Coordinate with design, sales, pricing, and operations teams to manage the implementation of new customer items.Apply a solid understanding of business objectives, goals, and values when making daily decisions.Make daily decisions that maximize customer satisfaction and plant capacity, using sound technical and business judgment, poise, and a sense of urgency.Build and maintain strong relationships with customer contacts to reinforce a competitive advantage in customer experience.Establish, manage, and enforce correct order unitization to ensure accurate production and shipping.Demonstrate a solid understanding of pricing models, including variable contribution levels.Coordinate warehoused items using basic manufacturing concepts such as replenishment ordering and first-in, first-out (FIFO) inventory practices.Routinely assess and report potential obsolescence concerns related to aged inventory.Participate in non-price improvement initiatives, particularly in the areas of aged inventory, trailer utilization, and operational efficiencies.Provide data reporting on orders, sales, and inventory to plant management, sales teams, and customers as requested.Create and manage customer-specific reporting such as daily status updates, order prioritization, MSF delivery, on-time delivery (OTD), and warehoused inventory status.Coordinate the efforts of internal and external vendors to ensure tooling, artwork, and CADs are customer-approved and provided to the manufacturing team.Consistently demonstrate exceptional administrative, organizational, and communication skills in daily tasks.Observe and report noteworthy customer concerns or trends to plant management and sales teams.Participate in production meetings to track orders from receipt of roll-stock through final delivery and confirm that all production steps and shipping plans meet customer commitments.Research and resolve customer order discrepancies, including credits or debits, quality concerns, make-up orders, and returned or reworked items.Ensure customer price lists are accurate and update them as needed.Research and address discrepancies identified in weekly accounts receivable reports.Perform general administrative support duties, including filing, scanning, and clerical tasks.Complete accurate data entry for orders, inventory, and financial information using spreadsheets and business systems.Manage time effectively to handle multiple tasks and deadlines in a fast-paced environment.

Essential Skills

Proven administrative support experience, including filing, scanning, and general clerical work.Strong data entry skills with high attention to detail and accuracy.Proficiency in Microsoft Excel, including entering data, using basic formulas, and working with features such as pivot tables.Proficiency in Microsoft Word, including the ability to remove rows, add columns, and create and edit tables at a basic level.Proficiency with Microsoft Outlook for email and calendar management.Solid working knowledge of Microsoft Office applications.Experience with accounts receivable and accounts payable processes.Strong customer service skills, with the ability to communicate clearly and professionally with internal and external stakeholders.Effective time management skills to prioritize tasks and meet deadlines.Strong organizational skills to manage multiple orders, reports, and customer requirements.Demonstrated strong work ethic and reliability in completing assigned tasks.Ability to interpret and work with basic manufacturing and inventory concepts such as replenishment ordering and first-in, first-out (FIFO).Ability to analyze and resolve discrepancies related to orders, quality issues, and financial transactions.

Additional Skills & Qualifications

Experience providing administrative support in a manufacturing, production, or distribution environment.Familiarity with inventory management practices, including monitoring aged inventory and identifying potential obsolescence.Experience creating and maintaining customer-specific reports related to order status, delivery performance, and warehoused inventory.Comfort working closely with cross-functional teams such as operations, shipping, maintenance, sales, pricing, and design.Strong written and verbal communication skills for interacting with customers, vendors, and internal teams.Ability to participate effectively in production meetings and translate operational updates into customer-focused actions.Demonstrated ability to handle multiple priorities while maintaining accuracy and attention to detail.

Work Environment

This is a full-time, on-site position with a standard schedule of Monday through Friday, 8:00 a.m. to 5:00 p.m. The role is based in a production and office environment, requiring regular interaction with operations, shipping, maintenance, sales, and other internal teams. You will work extensively with Microsoft Office tools, particularly Excel, Word, and Outlook, as well as internal systems used for order entry, inventory tracking, and reporting. The dress code is casual and neat, typically jeans paired with a nice shirt.

Pay and Benefits

The pay range for this position is $20.00 - $20.00/hr.
