Job Title: Administrative AssistantJob Description

As an Administrative Assistant, you will play a pivotal role in ensuring smooth office operations by performing various administrative duties and supporting office leadership.

ResponsibilitiesPerform receptionist duties, including greeting visitors and employees, processing all incoming and outgoing mail, and maintaining a tidy and stocked break room.Assist office leadership with administrative tasks and preparation of operating plans and special reports.Oversee office administrative operations, coordinate with building management and vendors, and manage office supplies.Maintain records of assigned workstations and coordinate with internal IT and leadership for staff relocations.Handle purchase-card transactions and track receipts with backup documentation for accounting.Facilitate office-wide communications and assist HR with onboarding and collecting new hire paperwork.Prepare social media posts to promote office activities.Lead planning and coordination of internal staff events and support employee engagement committees.Provide administrative support to other offices as needed, including on-site assistance for new hires.Coordinate office meetings, including arranging onsite meals and reservations.Keep organizational charts and email distribution lists up to date.Type, revise, and combine materials such as correspondence, reports, and meeting minutes.Assist with scheduling duties as needed.Essential SkillsStrong proficiency in Microsoft Word and Outlook.Exceptional grammar, punctuation, and proofreading skills.Ability to prioritize tasks in a fast-paced environment.Self-motivated and detail-oriented.Professional communication skills both on the phone and in person.Organizational and multitasking skills.Ability to handle confidential information.Additional Skills & QualificationsProficiency with Microsoft PowerPoint and Excel.Experience with social media management, particularly LinkedIn.Event planning and coordination experience.Experience supporting multiple office locations.Associates degree preferred.High School diploma or equivalent required.Work Environment

This position is an in-office role, Monday to Friday, from 8 am to 5 pm, with the option to start as early as 7:30 am. The office has 30-40 staff members and is a quiet environment with frequent visitors.

This is a Contract to Hire position based out of Fort Lauderdale, FL.

Pay and Benefits

The pay range for this position is $24.00 - $26.00/hr.
