Job Description
The role of Administrative Assistant involves providing comprehensive administrative support, including tasks such as answering phones, managing calendars, and coordinating meetings. The successful candidate will be responsible for preparing and editing correspondence and reports, maintaining organized filing systems both electronically and on paper, and assisting with data entry, record keeping, and document management. The position requires coordinating office supplies, supporting basic bookkeeping tasks, utilizing QuickBooks, assisting with building permit applications and tracking, managing and maintaining insurance certificates, and ensuring compliance with documentation requirements. Handling confidential information with discretion is essential.
Responsibilities
Provide general administrative support including answering phones, managing calendars, and coordinating meetings.Prepare and edit correspondence and reports.Maintain organized filing systems (electronic and paper).Assist with data entry, record keeping, and document management.Coordinate office supplies.Support basic bookkeeping tasks and utilize QuickBooks.Assist with building permit applications and tracking.Manage and maintain insurance certificates and ensure compliance with documentation requirements.Handle confidential information with discretion.Essential Skills
1–2 years of experience in an administrative or office support role.Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).Strong organizational and time management skills.Excellent written and verbal communication abilities.Ability to multitask and prioritize effectively.Experience with QuickBooks and basic bookkeeping.Additional Skills & Qualifications
Familiarity with building permitting processes and insurance certification management is a plus.High school diploma or equivalent required; associate degree preferred.Work Environment
The work environment includes regular office hours, and the use of standard office equipment such as computers and phones. The position may require occasional lifting of office supplies and materials. Professional attire is expected to maintain a business-like atmosphere
Job Type & LocationThis is a Contract to Hire position based out of Great Neck, NY.
Pay and BenefitsThe pay range for this position is $22.00 - $25.00/hr.
