We are seeking an experienced Executive Administrative Assistant to provide advanced administrative support to the Chief Marketing Officer (CMO) in a dynamic hybrid work environment. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities while maintaining professionalism and discretion.
Key ResponsibilitiesManage calendars, coordinate meetings, and confirm availability for assigned teams.Organize national and regional group meetings, including room bookings, tele/video conferencing setup, and catering arrangements.Prepare and edit documents such as agreements, memos, correspondence, and presentations.Oversee invoice processes for advertising and promotional activities; maintain accurate records of purchase orders and invoices.Coordinate complex travel itineraries in compliance with corporate policies and budget guidelines.Administer vendor credentialing programs and ensure timely responses to team requests.Lead special projects and resolve issues related to technology, expenses, budgets, vendor invoicing, and travel.Build and maintain strong relationships across the organization.Essential Qualifications5+ years of administrative experience.Associate’s or Bachelor’s degree.Ability to manage multiple priorities and support multiple teams.Strong verbal and written communication skills.Excellent presentation skills and ability to thrive in a matrix environment.Job Type & LocationThis is a Contract position based out of Bridgewater, NJ.
Pay and BenefitsThe pay range for this position is $20.00 - $22.00/hr.
