Job Description
We are seeking a dedicated Administrative Assistant with a keen eye for detail and excellent organizational skills to join our team. The ideal candidate will support office operations, manage data entry tasks, and assist in the documentation and tracking of invoice submittals, primarily using QuickBooks.
ResponsibilitiesEnter data from facility management into QuickBooks.Generate, customize, oversee, and monitor invoices using QuickBooks.Assist in the documentation and tracking of invoice submittal statuses using multiple online platforms.Maintain multiple hard copy files and ensure proper statuses are being used.Perform filing tasks throughout the day.Follow up on multiple tasks and ensure deadlines are met.Arrange and manage electronic files.Address and respond promptly to inquiries from various clients.Communicate effectively in a team environment.Take notes during meetings and training sessions for future reference.Essential SkillsAt least 1 year of office experience, preferably with a construction company.Detail-oriented and able to manage multiple tasks.Strong communication skills and ability to work in a team.Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.General computer savvy.Additional Skills & QualificationsExperience in an administrative role, preferably in the construction industry.QuickBooks experience is a plus, though not required.Background in customer service.Recent high school, college, or vocational school graduates are welcome.Work Environment
This position operates in a professional office environment. The role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. Business casual attire is recommended.

This is a Contract to Hire position based out of New Hyde Park, New York.
Pay and Benefits
The pay range for this position is $20.00 - $25.00/hr.
