The Administrative Assistant will have responsibilities for providing office services support to the organization on a daily basis. This position will have a number of general administrative duties supporting our vehicle programs, records management, mail services, office supplies, facilities maintenance and more.
What You’ll Be DoingResponsibilities for this position may include, but are not limited to, the following:
Administrative duties, including, but not limited to, answering phones, checking in visitors/guests, providing Wi-Fi access, and administering the photo access badge system. Effectively responding to inquiries through phone and email. Maintaining office supplies through procurement management systems. Manage mail services for the building including organizing and maintaining mailroom supplies, postage, and coordinating maintenance of equipment as needed. Support local conferences & meetings, conference room preparations, and appointments, including ordering food if needed. Records Management – In accordance with the record retention policy, work with sites to support the records retention and storage program with external storage companies. Administrative support to Danfoss facilities teams on building issues that may arise, as well as coordinating vendor and contractor activities. Create and maintain standard operating procedures for all assigned duties. Performs other related duties as assigned. Excellent customer service skills/customer mindset/can-do attitude. Must be able to multi-task, is a problem solver and self-motivated. Reliable and punctual. Excellent verbal and written communication skills. High school education or equivalent 2+ years’ experience in a professional office environment Proficient in MS Office Suite Must have a valid driver’s licenseProlonged periods sitting at a desk and working on a computer. Salary Range: 45K - 55K USD
