Job Description

The Administrative Assistant will manage DOT compliance paperwork, handle accounts payable and receivable, and oversee all billing processes using QuickBooks. The role involves entering parts, managing purchasing and purchase orders, recording transactions, preparing reports, and ensuring accurate accounting data. Responsibilities also include opening and closing work orders, sending information to the controller for billing, processing accounts receivable as needed, and handling data entry projects using Excel.

Responsibilities

Manage DOT compliance paperwork.Handle accounts payable and accounts receivable.Oversee all billing processes using QuickBooks.Enter parts into the system and manage purchasing and purchase orders.Record transactions and prepare reports.Process accounts payable and accounts receivable, fact-check accounting data, and reconcile company accounts.Open and close work orders as needed.Send information from work orders to the controller for billing.Process accounts receivable as needed.Conduct data entry projects using Excel.Perform scanning, filing, and other clerical tasks.

Essential Skills

Proficiency in data entry and computer skills.Experience with Excel, including Excel data entry.Knowledge of accounts payable (AP) and accounts receivable (AR) processes.Administrative support and customer service skills.Proficiency in Microsoft Office, including Outlook and Excel.Strong administrative and clerical skills.Experience with QuickBooks.

Additional Skills & Qualifications

Previous experience with purchase orders.Strong email and office support skills.

Work Environment

This is a part-time position, working Monday, Wednesday, and Friday from 8:00 AM to 5:00 PM with flexible hours, totaling 24-30 hours a week to start. The dress code is jeans and a nice shirt. The office is small, with only two other people and the owner. Interaction with the shop team is frequent, requiring the ability to maintain composure in a fast-paced environment.

This is a Contract to Hire position based out of Tulare, California.

Pay and Benefits

The pay range for this position is $22.00 - $24.00/hr.
