What You’ll Be Doing:
As the Administrative Assistant, you will be the backbone of the new department, ensuring that team members remain organized, operations run smoothly, and critical tasks are executed efficiently. Your support will play a vital role in the division's seamless operation and success. Key responsibilities include:
+ Managing daily administrative tasks and providing operational support for the division.
+ Coordinating and maintaining schedules through seamless calendaring and scheduling for team members.
+ Scanning invoices and forwarding them to the CFO/CPA for review, ensuring accuracy and proper documentation.
+ Handling data entry and tracking financial information in internal systems, ensuring all records are up-to-date.
+ Documenting and maintaining thorough records of purchases and expenses for reporting purposes.
+ Assisting with job setup and tracking processes within operational systems to keep internal workflows on track.
+ Creating and updating spreadsheets in Excel to organize and analyze data critical to division operations.
+ Collaborating with key stakeholders, including the CFO, Controller, Sales Manager, and Construction Manager, to ensure alignment across workflows and team objectives.
+ Participating in scheduled meetings, documenting minutes, and supporting leadership discussions.
Tools and Software You'll Use:
+ Excel: Create and manage spreadsheets; perform accurate data entry and reporting.
+ QuickBooks Online: Perform financial data support tasks for invoice handling and expense tracking.
+ Google Calendar: Manage schedules efficiently for effective time optimization.
+ Estimating Software: No experience required; training will be provided.
Requirements
What We’re Looking For:
+ Experience in an administrative support role where prioritizing multiple tasks and attention to detail were key.
+ Strong organizational and multitasking abilities with the ability to meet deadlines under pressure.
+ Proficiency in Excel, including tasks such as data entry, spreadsheet creation, and basic formulas.
+ Excellent verbal and written communication skills to collaborate with internal and external stakeholders.
+ Familiarity with financial tasks such as invoice tracking and reporting—experience with QuickBooks Online is a plus.
+ A proactive, problem-solving mindset with a focus on accuracy and efficiency.
+ Prior experience in fast-paced industries such as construction, operations, or professional services is an advantage but not mandatory.
