Administrative Assistant
Description We are looking for a dedicated Administrative Assistant to join our team in Laguna Beach, California. In this long-term contract role, you will play a pivotal part in managing property operations, supporting business initiatives, and providing executive-level assistance. Responsibilities: • Oversee the daily operations of residential and commercial properties, ensuring effective maintenance, tenant relations, and vendor management. • Handle leasing activities, compliance requirements, and financial reporting for commercial properties. • Develop and maintain systems for efficient property management, including budgeting and long-term planning. • Assist with tax planning, financial documentation, and coordination of accounting processes. • Provide project management support for initiatives such as e-commerce ventures, real estate developments, and investment opportunities. • Conduct in-depth research, due diligence, and vendor negotiations across diverse sectors. • Track timelines, budgets, and deliverables to ensure successful completion of multiple concurrent projects. • Manage executive calendars, communications, and documentation for organizational and personal initiatives. • Collaborate with legal, tax, and financial advisors to meet deadlines and ensure compliance. Requirements • Proven experience in property management, including residential and commercial properties. • Strong background in project management and financial coordination. • Familiarity with workflows related to e-commerce, real estate, and investment projects. • Exceptional organizational skills and the ability to manage multiple priorities effectively. • Excellent communication abilities, both written and verbal, to interact with diverse stakeholders. • Ability to work independently and exercise sound judgment in dynamic environments. • Proficiency in administrative tasks such as data entry, answering calls, and managing documentation. • Knowledge of property budgets, damage claims, and vendor relations.
