Administrative Assistant
Description We are looking for a skilled Administrative Assistant to provide comprehensive support to the Executive Director and executive staff of multiple state agencies. This long-term contract position requires exceptional organizational and communication skills to ensure smooth operations and alignment of priorities. Based in Atlanta, Georgia, this role involves managing schedules, coordinating workflows, and handling sensitive information with professionalism. Responsibilities: • Coordinate the Executive Director’s calendar by scheduling appointments, meetings, and travel arrangements, ensuring optimal time management. • Prepare and organize materials for executive meetings, including agendas, reports, presentations, and follow-up correspondence. • Act as a liaison between the Executive Director and internal or external stakeholders, responding to communications and ensuring timely resolutions. • Track and manage administrative tasks and deadlines, ensuring action items are completed efficiently and accurately. • Handle confidential information with discretion and professionalism, maintaining trust and security. • Assist in drafting and editing correspondence, reports, and other documents as needed. • Facilitate communication and collaboration between government officials, community leaders, and partner organizations. • Provide administrative support to executive staff, including managing documents, filing systems, and office resources. • Address inbound calls and inquiries, directing them appropriately or resolving issues as necessary. Requirements • Proven experience as an administrative assistant or in a similar role supporting executive-level staff. • Strong organizational skills with the ability to manage multiple tasks and deadlines effectively. • Excellent written and verbal communication skills, with the ability to interact professionally with stakeholders. • Proficiency in Microsoft Office Suite and other relevant software tools. • Ability to handle sensitive and confidential information with discretion. • Skilled in scheduling, calendar management, and travel coordination. • Detail-oriented and capable of preparing accurate reports, presentations, and correspondence. • Experience in data entry and receptionist duties is a plus.
