Administrative Assistant
Description We are looking for a detail-oriented Administrative Assistant to join our team in Bakersfield, California. In this role, you will play a pivotal part in managing vendor-related processes, maintaining accurate records, and supporting staff with administrative tasks. This is a long-term contract position, ideal for someone with strong organizational skills and experience in vendor management. Responsibilities: • Establish and maintain vendor files and related documentation in compliance with organizational standards. • Input and update vendor information and rate structures in the system as directed. • Collaborate with vendors, staff, and other departments to facilitate the onboarding of new vendors and manage existing ones. • Send vendor applications promptly and assist potential vendors through the application process. • Process vendor packets, issue vendor numbers, send approval letters, and prepare payment agreements. • Conduct systematic reviews of vendor files, request updated information as needed, and issue termination or non-use letters in accordance with regulations. • Participate in audits by organizing vendor files, retrieving necessary documentation, and coordinating with other regional centers. • Verify vendor rate structures for accuracy and consistency. • Provide clerical support, including preparing spreadsheets, memos, letters, and creating reports as needed. • Assist in staff and vendor training sessions and support other meetings as required. Requirements • Minimum of 3 years of experience in administrative assistance, preferably with vendor management. • Proficiency in data entry and maintaining organized, detailed records. • Strong communication skills, including experience handling inbound calls and correspondence. • Ability to manage relationships with multiple vendors effectively. • Familiarity with preparing and processing vendor invoices. • Skilled in creating spreadsheets, memos, and other documentation. • Experience with receptionist duties and general administrative office tasks. • Attention to detail and ability to work systematically under minimal supervision.
