Administrative Assistant
Description We are looking for a detail-oriented Administrative Assistant to support financial services operations in Avon, Minnesota. This long-term contract position offers an excellent opportunity to work in a dynamic environment, assisting with administrative tasks and customer service. The role requires strong organizational skills and proficiency in office software. Responsibilities: • Provide exceptional customer service by supporting the receptionist, setting up client accounts, and updating client files. • Maintain investment literature and applications, ensuring all materials are organized and accessible. • Prepare and distribute paperwork for account changes and other client requests. • Assist in the preparation of client meetings by creating financial plans, running statements, and compiling relevant documents. • Organize meeting agendas and ensure all required materials are available for discussions. • Generate quotes and pre-populate applications for life insurance and long-term care policies. • Handle customer inquiries related to their insurance policies with professionalism and accuracy. • Perform general administrative duties such as filing, copying, editing, and coordinating meetings. • Utilize office tools like Word, Excel, Outlook, and fax machines to complete tasks efficiently. • Ensure all documentation is accurate and compliant with company standards. Requirements • Proven experience in administrative roles, preferably in financial services. • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook. • Strong typing skills, with a minimum typing speed of 60 words per minute. • Excellent organizational and multitasking abilities. • Ability to provide high-quality customer service and manage client inquiries effectively. • Familiarity with life insurance and long-term care applications is a plus. • Strong attention to detail and ability to maintain accurate records. • Financial Services license preferred but not required.
