Position Summary
The Administrative & Invoicing Coordinator is responsible for managing vendor payments, handling administrative tasks, and ensuring accurate and timely invoicing for completed jobs. This role requires strong organizational skills, attention to detail, and the ability to work collaboratively across departments.
Key ResponsibilitiesAccounts Payable & Vendor Management
+ Track monthly expenses and process vendor payments.
+ Verify vendor accounts and monthly orders.
+ Resolve discrepancies related to purchase orders, contracts, invoices, or payments.
Administrative Support
+ Perform general office duties including filing, faxing, scanning, and emailing.
+ Order office supplies and equipment as needed.
Invoicing & Documentation
+ Send invoices to customers via email, fax, or mail.
+ Create purchase requisitions in Oracle/BOSS.
+ Invoice completed jobs daily, weekly, and monthly, ensuring accuracy and proper documentation.
+ Match and attach invoices to corresponding job files.
+ Resolve pricing issues and ensure correct purchase orders are applied.
Customer Account Setup
+ Assist with setting up new customer accounts in BOSS by collecting and entering required information.
Skills & Competencies
+ Technical Skills: Microsoft Office Suite (Excel, Outlook), ERP systems (Oracle/BOSS)
+ Administrative Skills: Data entry, document management, customer service
+ Organizational Skills: Highly organized with strong attention to detail
+ Interpersonal Skills: Ability to collaborate effectively with team members and vendors
Pay and Benefits
The pay range for this position is $20.00 - $22.00/hr.
