Job Title and Summary Job Title: Administrative Assistant Summary: Under the general direction of the Plant Manager, the Administrative Assistant will perform varied managerial duties and high-level administrative and secretarial tasks of a complex and confidential nature. This role involves representing the principals, managing schedules, preparing reports, and overseeing office operations. Key Responsibilities Perform or coordinate managerial and high-level administrative duties for the Plant Manager and the Strategic Team. Represent the principals in greeting or receiving visitors and provide information regarding business matters as appropriate. Ensure the accuracy of work prepared for signature and submission to higher levels of the organization. Apply detailed knowledge of the segment of work for which principals are responsible and of the operation, the organization, and its policies and procedures. Research and analyze subject matter for principals. Utilize advanced PC application skills, including word processing, development of spreadsheets and databases, and presentation of graphic materials. Exercise judgment with respect to urgency, confidential information, and potential problems. Maintain and update weekly, monthly, and annual system data and reports. Manage Plant tour requests, employee customer service, employment verifications, office supply management, bulletin board and file maintenance, employee communications, committee service, process incoming mail, and screen and direct telephone calls. Required Qualifications Acceptable attendance. Meets standards in overall performance rating in the most recent performance review. High school degree or equivalent; college coursework preferred. Up to 2 years of administrative/clerical experience in an office, business, or related area. Proficiency in Microsoft Word, PowerPoint, and Excel. Proven ability to prepare spreadsheets, charts, and graphs, and create presentations. Aptitude for learning new job-specific computer systems. Excellent communication skills, both written and verbal. Ability to multi-task and prioritize competing work demands, plan and organize work to meet scheduled deadlines. Well-developed organizational skills, including paper and electronic filing systems. Strong customer focus with the ability to be approachable and helpful. Proactive and timely in responding to requests. Excellent attention to detail and high degree of accuracy in all work. Ability to exercise discretion and handle confidential material and information. Professional, positive, service-oriented behavior in all interactions. Ability to anticipate and initiate cyclical activities. Proven job-related, complex problem-solving, and independent judgment abilities. Must be able to complete projects with limited supervision.
