Job Title: Administrative AssistantJob Description We are seeking an experienced Administrative Assistant to join our dynamic team. The role is diverse, with each day presenting new challenges and opportunities. Key daily tasks include checking punches and timecards for accuracy, handling requests for work orders, and managing inquiries and complaints from students and faculty. This position requires providing daily direction and communication to employees, ensuring tasks are completed efficiently and knowledgeably. Responsibilities + Check punches and timecards for accuracy. + Handle requests for work orders and process them. + Manage inquiries and complaints from students and faculty. + Provide daily direction and communication to employees. + Coordinate and lead special projects. + Offer guidance to employees to solve problems and answer questions. + Recommend methods to improve operational processes and efficiency. + Serve as a resource for other departments on matters pertaining to functional areas. + Support the processing of weekly payroll, including tracking time and attendance. + Post notices regarding company policy, payroll, HR, benefits, and compliance practices. + Review and maintain the time and attendance system. + Implement new administrative procedures and forms as directed. + Support daily office functions by ordering supplies. + Support inventory processes, including generating POs and maintaining the inventory system. + Maintain the POS database, including writing POs and pulling weekly sales and inventory results. Essential Skills + 3-5 years of work experience preferred. + High School Diploma required. + Proficiency in Microsoft Office, especially Excel. + Effective communication skills. + Excellent customer service and administrative skills. + Ability to develop and maintain positive working relationships. + Detail-oriented with strong organizational skills and ability to multitask. Additional Skills & Qualifications + Associates Degree in a related field preferred. + Experience in administrative support and office management. + Strong customer service skills, particularly in dealing with students and faculty. Work Environment You will be part of a team of 30-35 people and will serve as the right hand to the Director of Facilities. The position is located in the front area, primarily dealing with contractors and employees rather than walk-ins. The role involves significant communication via phone and email. Working hours are typically 8 am to 4 pm, although occasional events may require schedule adjustments. Pay and Benefits The pay range for this position is $20.00 - $23.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
