Description We are looking for an Administrative Assistant to join our team on a long-term contract basis. Based in Costa Mesa, California, this position is fully onsite and requires a motivated individual who excels in managing communications, organizing schedules, and supporting project-related tasks. The ideal candidate will bring strong organizational skills and proficiency with various software tools to ensure smooth daily operations.
Responsibilities:
• Provide comprehensive administrative support for team projects, ensuring tasks are completed efficiently and deadlines are met.
• Manage and maintain calendars, scheduling appointments and organizing meetings to optimize workflows.
• Take ownership of all communications, including email correspondence and responding to inbound calls.
• Coordinate project management tasks using tools such as AirTable, Slack, Asana, or Monday.com to track progress and maintain organization.
• Prepare reports and presentations using Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
• Conduct data entry tasks with high accuracy to support ongoing projects and administrative needs.
• Foster positive customer interactions through excellent customer service and effective communication.
• Assist in planning and logistics for meetings, ensuring all materials and resources are prepared in advance.
• Collaborate with team members to streamline administrative processes and improve overall efficiency. Requirements • Minimum of 3 years of experience in an administrative or similar role.
• Proficiency in software tools such as AirTable, Slack, Microsoft Office Suite, and Asana or Monday.com.
• Strong organizational skills with the ability to manage calendars and schedule appointments effectively.
• Excellent communication abilities, both verbal and written, to handle email correspondence and inbound/outbound calls.
• Detail-oriented with exceptional data entry and reporting skills.
• Customer service experience, showcasing professionalism and a positive attitude.
• Ability to work onsite in Costa Mesa, California, adhering to a casual dress code.
