Administrative Assistant
Description We are looking for an organized and detail-oriented Administrative Assistant to join our team in Saint Paul, Minnesota. This Contract to permanent position offers an excellent opportunity to support various departments within the financial services industry, including claims, IT, finance, and actuarial operations. The ideal candidate will thrive in a collaborative and focused work environment, demonstrating exceptional communication and administrative skills. Responsibilities: • Coordinate and schedule meetings and appointments for multiple departments, ensuring smooth operations. • Prepare and manage meeting notes, agendas, and follow-ups to support departmental activities. • Handle invoicing and payment processes with accuracy and attention to detail. • Set up and maintain conference rooms for meetings and events, ensuring all necessary arrangements are in place. • Assist with spreadsheet processing and data management to support operational needs. • Provide administrative support to directors and team members, including correspondence and document preparation. • Utilize Microsoft Office tools, such as Word, Excel, PowerPoint, and Outlook, to complete daily tasks efficiently. • Respond to inbound calls and emails, delivering excellent customer service and addressing inquiries promptly. • Collaborate with departments to ensure seamless communication and workflow. • Maintain a friendly and focused demeanor while working in a quiet and cooperative environment. Requirements • Proven experience in administrative roles, preferably within the financial services industry. • Proficiency in Microsoft Office tools, including Excel, Word, PowerPoint, Outlook, and Teams. • Strong organizational skills with the ability to manage multiple tasks simultaneously. • Excellent verbal and written communication skills to liaise effectively with team members and stakeholders. • Ability to handle spreadsheets with accuracy. • Experience in scheduling and coordinating meetings and appointments. • Customer service skills, including handling inbound calls and email correspondence. • Ability to adapt to a detail-oriented and collaborative work environment.
