JLL is seeking an Administrative Assistant who will serve as a key operational cornerstone, delivering comprehensive support to both the Management and Operations teams across various properties. This position is located at the CrossIron Mills property in Rocky View County and is an on-site position 5 days a week. This dynamic role encompasses the following responsibilities:
WHAT YOU’LL BE DOING
CrossIron Mills
Process and code of invoices
Oversee leasing of storage spaces, handle lease assignments and subleases
Set up job costs
Produce occupancy reports
Reconcile monthly credit cards, validate Quarterly and Yearly Operations and Marketing accruals
Maintain and optimize purchase order tracking system
Produce monthly sales competition reports and Hydro analysis, monthly and annual Sales collection
Complete storage closing forms
Carry out other related tasks as directed
Deerfoot Meadows
Manage monthly rent collection and bank deposits
Prepare tenant account statements and tenant manual billings
Issue demand and default letters and tenant opening and closing forms
Issue tenant chargeback invoices and precent rent billings, tenant and contractor deposit collection and refunds
Process and code of invoices
Produce annual rent letters and various monthly and annual reports (occupancy, sales collection, year-end adjustments, etc.)
Leasing of pylon signs
Set up job costs
Marketing Budget and planning of Radio and Pattison
Reconcile monthly GL accounts and credit cards
Validate Monthly and Yearly Operations and Marketing accruals
Keep Website updated
Oversee new tenant set ups
Handling of lease assignments and subleases
Carry out other related tasks as directed
WHAT WE’RE LOOKING FOR
Post Secondary education in office administration or equivalent work experience;
Three or more years of experience in office administration;
Methodical, detail-oriented self-starter with excellent organization and prioritization skills;
Outgoing team player with strong interpersonal skills;
Ability to perform under pressure within tight deadlines;
Ability to multitask and handle a variety of responsibilities in a fast-paced environment;
Proficiency in Microsoft Office suite (Word and Excel) as well as Office 365.
