Administrative Assistant
Description We are looking for an Administrative Assistant to join our team on a long-term contract basis in Audubon, New Jersey. This role involves providing excellent customer service, managing administrative tasks, and maintaining organized records in a small office environment. Responsibilities: • Greet and assist residents and visitors in the office • Process incoming work orders and ensure they are entered accurately into the system. • Monitor and manage the office drop box at least twice daily for documents or requests. • Prepare, copy, and mail letters to residents while maintaining organized filing systems, both physical and electronic. • Scan and save documents, such as letters and work orders, into electronic files alphabetically. • Regularly update and maintain resident and vendor records, including insurance files and software systems. • Coordinate and assist with annual meetings, open enrollment for housing lists, and other administrative events. • Handle shredding tasks and ensure sensitive documents are disposed of securely. • Create reports for board meetings and draft resident correspondence as needed. • Assist with various office projects and maintain an organized workspace. Requirements • Proven experience in administrative support or a similar role. • Strong customer service skills, particularly in face-to-face interactions. • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook. • Ability to manage and organize both physical and electronic filing systems. • Excellent written and verbal communication skills. • Attention to detail and the ability to multitask effectively. • Familiarity with property management software or similar systems is preferred.
