Administrative Assistant
Description We are looking for a detail-oriented and organized Administrative Assistant to join our team in Tuscaloosa, Alabama. This is a long-term contract position that offers the opportunity to support daily office operations, procurement activities, and event coordination. The ideal candidate is flexible, task-oriented, and comfortable managing a variety of administrative tasks in an efficient and welcoming environment. Responsibilities: • Oversee front desk operations, including greeting visitors, maintaining a logbook, and providing a positive first impression. • Assist with procurement tasks such as scanning and uploading purchasing documents and managing invoices. • Coordinate office supplies, including ordering and stocking snacks, drinks, and other essentials. • Schedule maintenance for office equipment, including coffee machines, and ensure smooth functionality. • Organize company events and support vendor management for various office needs. • Handle correspondence via email and phone, ensuring timely and effective communication. • Perform data entry and maintain accurate records for procurement and administrative tasks. • Collaborate with team members to manage schedules, appointments, and office calendars. • Follow office dress code and safety requirements, including wearing closed-toe shoes in designated areas. • Perform occasional physical tasks, such as retrieving orders Requirements • Proven experience in administrative support or a similar role. • Proficiency in Microsoft Office Suite, including Excel, Word, PowerPoint, and Outlook. • Strong organizational skills with the ability to manage multiple tasks and meet deadlines. • Excellent communication and customer service skills, both written and verbal. • Familiarity with procurement processes and invoicing is highly preferred. • Ability to work independently in a quiet, focused office environment. • Flexibility and adaptability to handle varied responsibilities and tasks.
